About Love Lord Howe
Love Lord Howe ABN 33 430 264 343 operates as a wedding, conference and event organising service, a catering service and a babysitting referral service on Lord Howe Island. This document contains the terms and conditions in regard to our wedding, conference and event services. The terms and conditions in relation to our catering or babysitting referral services can be supplied on request. Love Lord Howe arranges weddings, conferences and events on Lord Howe Island. Our directors hold Food Safety Supervisor Certificates and all food handlers have been trained in safe food preparation. By making a wedding, conference or event booking with Love Lord Howe via our website or via email, you agree to the terms and conditions in this document.

User responsibility
By booking a wedding, conference or event with Love Lord Howe, you agree to the following:

    1. Final booking numbers
      Event organisers must advise Love Lord Howe of their final guest numbers 14 days prior to their event. Should this be advised with less than 14 days notice, Love Lord Howe does NOT guarantee all guests at the event can be catered for. Should less guests arrive at your event than scheduled, no refunds are issued.
    2. Dietary and allergy disclosure
      If Love Lord Howe is providing catering for an event, event organisers must disclose any known allergies and dietary requirements for their guests within 14 days of the event. Love Lord Howe produces a variety of platters and other food products which can include, but are not limited to containing allergens such as gluten, eggs, dairy, nuts and seeds. Due to the varying food products used on our platters, ingredients are not listed on our website. Please contact us if you have specific dietary and allergy requirements prior to booking.
    3. Re-sale of items purchased from Love Lord Howe
      Any items made or created by us cannot be re-sold without the expressed written permission of Love Lord Howe.
    4. Responsible service of alcohol
      Love Lord Howe practices the responsible service of alcohol. The following rules apply to all weddings, conferences or events of which staff or contractors are engaged to provide a bar service: Love Lord Howe reserves the right to exclude or refuse service to event guests who are deemed intoxicated by our staff.
      1. Love Lord Howe reserves the right to ask for identification for any event guests requesting alcohol who appear under the age of 25.
      2. Love Lord Howe bar staff reserve the right to call ‘last drinks’ thirty minutes prior to the scheduled end of the event. No further alcohol will be supplied after this time call.
      3. Love Lord Howe is not permitted to extend event times unless agreed to in writing at least 48 hours prior to the scheduled event. These rules are non-negotiable, as they form part of our liquor licensing agreement with the Lord Howe Island Board.

Booking policy

Weddings, conferences and events must be discussed and booked via email. No phone calls will be accepted without prior arrangement. This is to ensure all parties have a written understanding of event requirements and agreements.

  1. Reasonable client contact and meetings (Email, online and face-to-face)

Love Lord Howe is an experienced event co-ordinator on Lord Howe Island. Large events of up to 65 people are regularly arranged in under 25 return emails between Love Lord Howe and the event organiser.

Up to 25 return emails and two online Zoom or face-to-face meetings of up to 30 minutes in duration are included for each event booking. Love Lord Howe reserves the right to charge an administration levy of $100 per hour for additional email correspondence, online zoom meetings or face-to-face meetings if requested by the event organiser.

2.  Availability of ‘On Island’ vendors.

Lord Howe Island has a small very small population of 435 permanent residents. There is generally only one vendor such as a florist, photographer, hair and make up artist etc. available. Love Lord Howe will endeavour to help event organisers find and book ‘Island Based’ vendors, however this may not always be possible. If an ‘Island Based’ vendor cannot be found, we will assist event organisers to source the required vendor from the Australian mainland. Event organisers are responsible for flights, accommodation and other expenses of vendors sourced from areas outside of Lord Howe Island.

3.  Flight cancellations and delays which affect ‘Mainland Based’ vendors and products. 

Should a event organiser choose to engage a mainland based vendor for their wedding or event, both Love Lord Howe and the chosen mainland based vendor are not responsible for flight cancellations or delays which may cancel a service or alter a product provided.

Such delays and cancellations are out of the control of Love Lord Howe and mainland based vendors. Claims for compensation which are not weather related should be directed to the airline engaged to deliver your service or product.

Love Lord Howe recommends event organisers investigate wedding or event insurance for weather related delays or cancellations.

Cancellation and Refund Policy

  1. If you wish to cancel your booking

No refunds are offered for cancellations due to wet weather.
Should you wish to cancel your wedding or event for another reason, including in relation to Covid-19, the following cancellation policy applies:

Outside 28 days from your wedding or event:
If you wish to cancel, your $1000 non-refundable deposit is forfeited, plus the cost of any speciality items already purchased for your wedding or event. Full payment for all weddings and events are due 28 days prior to the scheduled event date.

Between 14 to 27 days from your wedding or event:

If you wish to cancel, the initial $1000 non-refundable deposit is forfeited, plus 50% of any additional pre-payments.

Within 14 days of your wedding or event:
100% of your wedding or event pre-payment is forfeited. This is because our catering supplies are ordered in from the mainland via our fortnightly freight ship and may spoil if not used. We also may have turned away other wedding or event bookings order to confirm your particular date.

2. If Love Lord Howe cancels your booking

Love Lord Howe is a small family business working with a very small team of Lord Howe Island residents. We will always endeavour to fulfil bookings, however there may be instances where by circumstances outside of our control we are unable to, such as a family emergency. In the highly unlikely event that Love Lord Howe is unable to fulfil your booking, we will fully refund any monies paid via your original form of payment. You will be required to provide your bank account details if you originally paid via direct credit.

Weather Related ‘last minute’ Changes and Charges Policy

Outdoor weddings, conferences and events may be affected by weather conditions. Love Lord Howe will endeavour to find suitable solutions to ensure your event goes ahead even if unfavourable weather is forecasted.

As a result of these changes, additional third party charges not limited to transport, indoor venues, cleaning, additional location set ups etc. may incur additional fees which are payable by the event organiser.

Payment of any additional fees must be made within 14 days of the event.

Managing and facilitating these essential event changes forms part of your planning and co-ordination agreement with Love Lord Howe.

 

Breakage Policy

Event organisers are required to provide a credit card on event quote acceptance .

Love Lord Howe reserves the right to charge the credit card provided for replacement costs of any items which are broken or damaged. This charge will be made within 7 days after your event, with a full itemised invoice emailed to the event organiser.

Covid-19 Policy

Love Lord Howe directors and staff practice Covid-19 safety principles such as:

  • Advising if they are unwell prior to working
  • Mask wearing (when required to do so as advised by NSW Health)
  • Handwashing
  • Social distancing

A full guest list, including children and babies, must be provided to Love Lord Howe 7 days prior to your event. This list will be provided to the NSW Department of Health if requested for contract tracing purposes.

Personal Information, Privacy and Image Use Policy

Love Lord Howe collects personal information in order to fulfil wedding and event services. We are committed to protecting your privacy and handling your personal information in accordance with applicable privacy laws.

Personal information we may collect includes:

  • Your contact information such as your name, phone number, and email address.
  • The name of your guests, as a NSW Department of Health requirement.
  • Your food allergy and/or dietary requirements.
  • Information regarding your stay on Lord Howe Island, such as your arrival and departure dates and your accommodation provider.
  • Your bank account BSB and account number to issue a refund, if you originally paid via direct credit.

Use of photos and videos

From time to time, Love Lord Howe may capture photographs, video recordings, or other media (collectively, “Images”) of wedding or event activities that may include you or your guests. These Images may be used for marketing, promotional materials, or shared on our website and social media platforms. We are committed to ensuring that all use of Images complies with privacy and data protection laws.

By participating in any wedding or event, you acknowledge and agree that Love Lord Howe may use your Images for the purposes outlined below:

  • Marketing and Promotional Materials: Including but not limited to website content, social media posts, brochures, or other printed or digital materials.
  • Publications and Media: Images may be shared with third parties such as media outlets, tourism boards, or event sponsors.
  • Internal Use: For documentation, planning, or improvement of services.

If you do not wish to have your image used for any of these purposes, you must notify Love Lord Howe in writing prior to the event. We will take reasonable steps to accommodate your request, although please note that certain Images may be used where consent has been implied through participation in public or group settings (e.g., audience photos or videos at events).

Security of Personal Information

Love Lord Howe strives to ensure the security, integrity, and privacy of all information collected via our website and through email contact. Unfortunately, no data transmission over the internet can be guaranteed to be totally secure. However, Love Lord Howe will take reasonable steps to protect all personal information provided to us, including implementing appropriate technical and organisational measures to safeguard your data.

Changes to this policy

We may update this policy from time to time. Any updates will be posted on our website, and the changes will be effective as soon as they are posted. Please review this policy periodically for any updates or changes.
